Pipeline Management

MyHome is the starting page in myMarPlan™. It provides a
summary and overview of upcoming activities and events as well as recently
completed actions. This
opening screen provides a quick summary for planning out your daily activities,
and acts as your personal control center within mymarplan. From
While using any module within mymarplan, simply click on the MyHome tab at any time to
return to the summary page.

Basics – Getting Started
My Home Basics – Getting Started
MyHome
provides detail on your most recent contact activities, as well as upcoming
action items, with sections for Calendar Activities and Schedules, along with summaries of Recent
Calls and Recent
Dashboards. The “To Do List” allows you to add key action items to
your home page. All of the other
information on your home page is pulled from the underlying modules. If you wish to add, edit, or delete any
activities other than To Do List, click on the appropriate tab or the activity hyperlink.

To Do List – Action Items
Action items allow you to focus your efforts on your key
upcoming deliverables. These should
represent the most important short term actions to be accomplished. You can add to these items right in the MyHome page or by adding a “Next Action” in the detailed contact record.
On the My Home page, enter the desired task into
the “Add” field on the right side of the webpage under “To Do List”.
After adding the note, click on the calendar button on the far
right. Select a date, and the task will
be added to your Action Items. Once
added, you can mark complete by checking the “complete” box, or edit or delete
by clicking on “remove” and re-entering an update if necessary.

Navigate
to MyHome activity detail:
All of the activities are dynamic links, so clicking on the item will take you
to the event detail.

The Calendar
Activities Box
The Calendar Activities box displays your
calendar summary for the next few days, and is taken from the detail in your Calendar.

To view details of any event, click on the activity and you will
navigate to the calendar and can view or make changes to the detailed
record. To add new activities or edit
other events on your Calendar ,
click on the Calendar tab.

The Schedule Activities Box
The Schedule Activities
box displays your schedule summary for the next few days and is taken from the
activities in your schedule module.

To view details of any event, click on the
activity and you will navigate to the detailed record. To add new activities or edit other events, click on the Schedule tab.

The Recent Calls Box
The Recent Calls box displays a summary
of recent phone calls made and logged to individual contacts. This is a handy call log that allows you to
click on the call and bring up the detailed account record.
Phone call history to each contact is logged in full within Contacts; to add new calls or notes access this by clicking on the Contacts tab.

The Recent Dashboards Box
The Recent Dashboards box displays a list of
your most recently created Dashboards by
name. You can click on any of these to go directly
to the dashboard.
You can view
and edit all of your Dashboards by clicking on the View Dashboards tab.

Operating from MyHome
when you start mymarplan, you can navigate to any of the modules by clicking on the
tabs at the top of your screen:

The Contacts
module is for managing all of the Contacts and
leads for you and your team. This section automatically defaults to
the Detailed View
page. If you have not yet added any
contacts, this screen will have a blank record from which to begin. (click here to learn about adding new contacts or here for importing contacts).
Contacts
displays and records individual contact details, lead management designations,
assignments, and action plans.
Existing and new Contacts may be imported from external sources including applications such as Microsoft Outlook.
Using Search by Form allows you to
quickly identify records by name, title, company, sales stage, etc.
Altogether, there are 6 tabs within Contacts: Detailed View, Search by Form, View All Records, Dashboard,
Status Report, and Import.
Click on the Contacts tab
at any time to navigate to the Contacts pages.

The Detailed View Tab

The Detailed
View section is your command center for individual contact,
prospect and lead records. It contains
all information pertinent to each individual record, such as contact
information, lead status and buying role in active sales cycle, next actions,
assigned team member, account notes, pipeline status.
This page is used to add, edit and manage the all information
associated with this account/contact record.
To initially populate the contacts database, you will often import existing contacts,
leads and prospects (for more information, follow
this link).

Within the Detailed
View, you can Edit
Contact Details, Add
Additional Information, Designate Prospect Status i.e.
generic contact, or suspect (unqualified lead) through each of the sales
stages, Designate Buying Role i.e.
decision maker, sponsor etc., Add
Activities, Assign Next
Actions, Include
Notes, and Log Calls.
You can also attach files such
as account correspondence or presentations, and add financial information to
track deal size and forecasts.
The Next Actions and
Calendar buttons interface with the Calendar tab to bring full account management functionality to the system.
myMarPlan™ allows you maintain contacts personal to you or to share
them with your team by checking the Shared box.
The Referral field
is to record information on who referred you to the contact/lead. This
information is useful in account planning and Enterprise Mapping.
The Assigned To field
is used to assign an account to an owner - a team member responsible for the
management of this lead.
The Next Action section
is used to plan out actions for managing the account. It interacts with
the Calendar to set reminders and
additional detail on account plans and next steps.
In the Next Action
field, enter the next action to be taken with the account. Once next action
is set, you can click on the calendar icon to add to the Action items list;
click on date and add time and any notes. For a more detailed account
plan, click on Schedules, and
use the scheduling tool.
Add Note is used to enter short
notes, in addition to the call records, on any interactions with the
contact. Simply type in your entry, and
click on “Save”.
Linked Files is used to attach
a file to the record, and can be used to link and store correspondence,
presentations, proposal, etc.
The History button is for Contact History and
records all calls and notes in dealings with the contact/lead. The
buttons in this window (log call, etc) are quick entry short cuts to record
phone calls.
The Financials button is to record account size and
close date estimates that are used for forecasting and reporting.
The Referral
button is used to create a new contact record from the contact that introduces
or suggested the lead. For instance, if you are using “Maxwell Smart’s” contact
record and speaking with him, and he asks you to call his “Number 2”, you would
hit Referral and then enter the
contact information.
Delete is used to delete a complete contact from your
system.
Back and Next are
to navigate to the next record, forward or previous.
Using the Detailed View Display
The Detailed View
Display
The Name & Address Details box
provides input fields in which to enter name and address details.

The Contact Details box provides input fields
in which to enter further information on your contacts. In addition to contact information (phone
numbers, emails, etc.) you can also enter a “Prospect”
type and pipeline status, as well as
share contacts with your work group and assign the leads to team members for
follow up. You can also create a referral
by clicking on the 3 dots next to the “Referral”
row, which will open a new contact pre-populated with the referee’s address and
create a link for account mapping.

The Next Action
column provides the ability to set reminders and add notes about Contacts and Calls for future reference.

At the bottom of the left column, there are 3 buttons
that allow you to add in additional information to the detailed view
screen. These are:
Clicking on any of these will change the information
in this column to address these specific areas.
In detail (which is the default screen in detailed
view, The Linked Files
box allows you to attach any correspondence, presentations or additional
information pertinent to an account to the prospect record.
To add a new file, click on “Add” in the lower left corner
of the Link Files box and a new dialogue box will open, and provide a menu of
files already uploaded and shared in mymarplan.
To link a new file, simply click “browse” to find the file on your
system. Click on upload, and once
complete, the file will be linked (visible when you refresh the record). To remove a file that is no longer
appropriate, check the box next to the file, then select “remove”.

To view and edit you Contact History, click on the “History” button.
